Software for tuition centres and training providers

Training and tuition centres run on three things: who’s enrolled, whether they turned up, and whether they’ve paid. Almost every centre tracks those in three separate places, and spends the first week of every month reconciling them.

How this usually runs today

  • Enrolment in a spreadsheet, one tab per intake
  • Timetables rebuilt from scratch each term
  • Attendance on paper, keyed in later or not at all
  • Fees chased over WhatsApp, individually
  • Parents asking for updates one message at a time
  • Teacher hours calculated from memory at month end

What we’d build

  • Enrolment

Students, courses, intakes and class allocation.

  • Scheduling

Timetables by class, teacher and room, with clashes caught before they happen.

  • Attendance

Taken on a phone in thirty seconds, feeding both reports and teacher pay.

  • Fees and invoicing

Schedules, instalments, receipts and who’s outstanding.

  • Parent portal

Schedule, attendance and payment status, so nobody has to ask.

  • Teacher management

    Hours, rates and what’s owed.

  • Reporting

Retention by course, capacity by class, revenue by intake.

The parts that are harder than they look

  1. 01

Timetabling is a constraint problem in disguise.

Teacher availability, room capacity, class level, student clashes and make-up sessions all interact. Anything that treats a timetable as a calendar collapses at about forty students.

  2. 02

Fee structures are never as simple as described.

Sibling discounts, prorated mid-term joins, deposits, instalments, make-up credits and refunds. Every centre has at least three exceptions it forgot to mention in the first meeting.

  3. 03

Attendance drives money, not just records.

It feeds teacher pay, make-up entitlement and sometimes fee adjustments. Which means it has to be captured reliably in the moment, not typed up on Friday.

  4. 04

    Parent access needs care.

Parents should see their own child and nothing else, guardianship arrangements vary, and student information deserves a properly considered access and retention policy. Design it in.

Proof

We haven’t published a project in this sector yet.

What we have done is build an operations platform that handles rosters, attendance, commission and statutory payroll for a real business — the same problems in a different setting.

That case study is here.

FAQ

Questions we get asked

  1. 01

Can parents see attendance and fees without an app?

Yes. The portal runs in a browser on a phone. Asking every parent to install something is the fastest way to end up back on WhatsApp.

  2. 02

Can it handle make-up classes and prorated fees?

It has to, because those are the cases that break spreadsheets. Make-up entitlement usually depends on attendance, and prorating depends on when a student joined, so both are tied to records the system already holds.

  3. 03

Can it calculate what teachers are owed?

Yes, from the same attendance record that feeds your reports — hours actually taught, at the rate that applies, rather than reconstructed at month end.

  4. 04

Can we run multiple branches or centres?

Yes. Timetables, rooms and teachers are per-centre, with shared courses and reporting above them.

  5. 05

Can it send fee reminders automatically?

Yes, from the fee schedule rather than from someone’s list. The useful part is that a reminder stops once payment is recorded, which is where manual chasing usually goes wrong.

Tell us how your centre runs today.

How enrolment is recorded, how attendance is taken, and what the first week of the month looks like. That is enough to tell you what to build first.
